Job Description

Van Der Hout LLP is a nationally renowned, full-service immigration and nationality law firm located in San Francisco’s Union Square. The firm was founded in 1980, and it now has 37 staff (attorneys, paralegal and admin support). It represents clients in a wide range of immigration matters.

 

Van Der Hout LLP is looking for a detail-oriented and organized Administrative Assistant to join our dynamic team! In this role, you will provide essential support to a team of attorneys and paralegals with a variety of administrative tasks in a fast-paced environment.

 

This in-office position requires a proactive, adaptable individual who is adept at managing multiple responsibilities. As a vital member of our legal team, you will play a key role in streamlining processes and ensuring the smooth operation of daily activities. Duties & Responsibilities: 

 

  • Provide comprehensive administrative support to attorneys and paralegals, including managing schedules, coordinating meetings, and handling correspondence with precision.
  • Assisting with high-volume data entry, monitor and calendar deadlines, prepare legal documents, conduct client intake and phone screenings, file court documents, opening new cases, and maintaining organized file systems. 
  • Communicate effectively and professionally with clients to ensure a positive experience.
  • Collaborate with the team on various office-related tasks as needed to enhance overall operations.

 

Qualifications:

  • 1-3 years of administrative experience preferred, with a strong preference for candidates with law firm experience.
  • College degree preferred.
  • Advanced proficiency of Microsoft Excel and PowerPoint.
  • Proficient or advanced knowledge of Adobe Acrobat.
  • Familiarity of LawLogix and Centerbase a plus.
  • Ability to work independently as well as part of a team.
  • Strong organizational and time-management skills.
  • Capability to manage multiple tasks and priorities in a fast-paced environment while maintaining high attention to detail.
  • Excellent communication and interpersonal skills.
  • Fluency in Spanish a plus.
