Job Description

General Statement of Duties: 
This is a responsible, clerical, and administrative position. An employee in this classification performs various clerical duties in the Law Department office. The individual provides secretarial support for the Law Director, Chief Counsel, and Assistant Law Directors in the Civil Division and the Chief Prosecutor, First Assistant Prosecutor, and Assistant Prosecutors in the Criminal Division. This individual routinely handles confidential materials such as personnel files and documents of a legal and personal nature. 

Minimum Qualifications: 
Graduation from high school with five years of secretarial experience; or an equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities. 

Unique Requirements/Physical Requirements: 
Knowledge of standard practices and procedures for legal offices. Knowledge of legal terminology. Knowledge of the organizational structure of the City of Canton. Ability to operate standard office machines, such as typewriter, calculator, word processor, printer, and fax machine. Ability to perform typing, word processing, writing, and editing duties at the level of speed and accuracy required by the Law Department. Ability to present ideas effectively, orally and in writing. Ability to establish and maintain effective working relationships with elected officials, department heads, City employees, other agencies and the general public.

Performs clerical and secretarial functions as described above under General Statement of Duties. 

Description of Work:
 
The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position. 

Performs typing and word processing duties for the Law Director, Chief Counsel, Assistant Law Directors, and Legal Office Manager in the Civil Division of the Law Department, producing draft copies for correction by the authors to final form. Performs typing and word processing duties for the Chief Prosecutor, First Assistant Prosecutor, and Assistant Prosecutors in the Criminal Division of the Law Department, producing draft copies for correction by the authors to final form. 

Performs various clerical and secretarial duties including those regarding legal and confidential matters. 

Operates office equipment such as word processors, printers, calculators, copy machines, fax machines, and other equipment to perform job duties, often of a very technical and exacting nature, and subsequent distribution of documents as assigned by the Law Director, Assistant Law Directors, Assistant Prosecutors, and other employees of the Law Department. 

Types correspondence, court documents, ordinances, memos, legal briefs, search warrants, and other documents. 

Develops and maintains filing systems and procedures for documents which have been typed, received, photocopied, or otherwise processed to ensure efficient access. Follows established procedures for filing court documents with the Clerk of Courts offices, etc. 

Occasionally performs receptionist duties for the Law Department office by screening visitors and calls, responding to questions, complaints, and concerns from City employees and the general public by either providing requested information, referring questions to other parties or researching inquiries to locate requested information.

May take photographs of victims of assault or domestic violence which may be used later as evidence in court. 

May prepare periodic reports delineating statistics regarding disposition of cases through participation of department in trials, hearings, filing of formal charges, and other activities.
