Coast to Coast Legal Aid of South Florida, Inc. (CCLA) is a Legal Services Corporation (LSC) funded, non-profit organization. CCLA provides free civil legal services to low-income and otherwise eligible residents of Broward County and is located in Plantation, Florida, a suburb of Fort Lauderdale. Our mission is to provide equal justice to underserved communities through quality and innovative free civil legal aid. CCLA provides legal assistance in the areas of Family Law & Victims of Crime, Economic Advocacy & Community Health (public benefits), and Senior Law for people age 60 and older. At CCLA, we believe all individuals are entitled to quality civil legal representation and equal access to justice, regardless of their income. 


CCLA is currently seeking an Executive Assistant to work under the supervision of the Executive Director and in coordination with the Directors and Supervisors, and other employees to support the day-to-day functions of the firm.


Position Duties:

  • Collaborates with the Executive Director, Directors, Supervising Attorneys, CFO, HR Manager, and Program Administrator to maintain optimal management of the program. 
  • Maintains all corporate records and documents, ensuring accuracy and compliance with regulations.
  • Assists Executive Director with preparing agendas and materials for the Board of Directors meetings.
  • Attend all Board of Directors meetings and maintains accurate minutes. 
  • Maintains user accounts for CCLA staff with various legal resources.
  • Reconciles cash disbursement accounts, payroll customer accounts and other financial accounts; manages accounts receivable collections.  Completes insurance applications, makes travel arrangements, completes registrations for trainings and meetings for staff.
  • Pays bar dues and manages other administrative tasks as needed.
  • Makes check deposits.
  • Verifies and/or completes payment of invoices associated with accounts payable and ensures payments are charged to the appropriate accounts.
  • Manages the purchase and distribution of office supplies and other asset management.
  • Helps organize workload and maintains timelines and deadlines to assist in the completion of grant applications and grant reporting.
  • Assists in preparation for monitoring visits by program funders.
  • Assists in providing reports and materials to Auditors.
  • Serves as a Site Administrator for the firm’s Legal Server case management system. 
  • Performs all other duties as assigned by the Executive Director. 

Position Requirements:

  • Bachelor’s degree preferred.
  • Previous experience as an executive assistant or in a similar role is an advantage.
  • Prior experience working with legal aid services/aid organization, LSC, non-profit, or government setting is helpful.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Teams, Zoom, and Adobe PDF.
  • Experience with legal case management systems; experience with Legal Server is considered an advantage.
  • Strong attention to detail and accuracy.
  • Extremely well organized.
  • Ability to prioritize work and handle multiple responsibilities.
  • Ability to take direction and work independently without requiring follow-up.
  • Ability to set and adhere to strict timelines and deadlines.
  • Ability to work with minimal supervision and collaborate effectively as part of a team in a diverse workplace.
  • Strong interpersonal skills, flexibility, and ability to work under pressure.
  • Excellent communication, writing, and phone skills.
  • Strict adherence to confidentiality.
