Job Description

PURPOSE:
We are seeking a Technical Administrative Coordinator with a growth mindset and a passion for process optimization, organization, and project management.

Join our Information Systems team to support efforts that drive digital transformation, operational efficiency, and technical innovation across all departments of the firm.

As a Technical Administrative Coordinator, your role will bridge technical and administrative functions. You will be instrumental in the day-to-day operations of the Information Systems department, and by staying engaged with our current initiatives and project pipeline, you will provide logistical and tactical project-level coordination to ensure the seamless execution of our department’s technical objectives.

This is an early-career opportunity reporting to the Director of Information Systems.

KEY RESPONSIBILITIES:

This is a dynamic, department-facing role with the following responsibilities:
  • Provide essential support to the Information Systems team, assisting with administrative and coordination tasks.
  • Organize and track task workflows, project timelines, and resource allocations to help ensure timely completion of scheduled deliverables.
  • Review and route incoming support tickets, forwarding issues to the appropriate team members and following up to ensure timely resolutions.
  • Serve as a secondary point of contact for all correspondence, including monitoring and coordinating the flow of incoming and outgoing communication.
  • Coordinate the team’s calendars, helping to balance technical tasks, project milestones, and cross-departmental meetings.
  • Record meeting notes with accuracy, capturing action items, technical decisions, and follow-ups for team accountability.
  • Help organize and maintain documentation repositories, contributing to adherence to release management protocols.
  • Create compelling PowerPoint presentations, infographics, and other visual materials to communicate complex information effectively.
  • Conduct preliminary research to gather insights and background information that assist in system improvement efforts.
  • Perform additional tasks as assigned, flexibly adapting to team and business needs as they evolve.

QUALIFICATIONS AND BACKGROUND:
Required:
  • Project management skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both verbal and written, with a detail-oriented approach to technical documentation.
  • Advanced proficiency in Microsoft Office Suite, particularly PowerPoint, Outlook, and Excel.
  • Experience in managing and tracking technical workflows using collaboration tools.
Desirable:
  • Proficient in using project and task management platforms, such as Asana, to track and organize tasks.
  • Experienced with support ticketing systems like Zendesk, including handling escalations and reporting trends.
  • Knowledgeable in Salesforce products, such as Salesforce Sales or Service Cloud.
  • Familiarity with IT governance frameworks and a proactive approach to identifying potential bottlenecks in project delivery.

KNOWLEDGE, SKILLS, AND ABILITIES:
Required:
  • Demonstrates the ability to identify high-priority items and respond with appropriate urgency.
  • Familiar with managing stakeholders across both business and IT functions.
  • Exhibits a solution-oriented and proactive approach to operational challenges.
  • Available and responsive to questions, with the ability to track and follow up on outstanding technical inquiries.
Desirable:
  • Knowledge of change management processes, including release planning and technical governance.
  • Shows commitment to continued professional development in operational and technical disciplines.
SALARY:
$55,000 - $75,000
