Role Overview

This is an excellent opportunity for a highly motivated and organized individual to join our company as an entry-level Legal Administrative Assistant. This position serves as a key member of the Legal Department and reports directly to the company’s Senior Assistant General Counsel. The Legal Administrative Assistant will work closely with attorneys, paralegals, and administrative staff within the department, as well as with cross-functional teams in Compliance, Licensing, and Facilities. The Legal Department values professionalism, responsiveness, collaboration, and continuous improvement. The successful candidate will bring a proactive mindset and a willingness to learn and contribute to evolving team processes.

 

Essential Duties

  • Assist with administration of the department’s document and matter management system, including:
    • Filing contracts, policies, and corporate records in a centralized location.
    • Monitoring litigation and docketed matters to provide accurate, up-to-date status reports.
    • Coordinating transactional and litigation documentation with outside counsel.
    • Identifying outstanding tasks and tracking upcoming deadlines.
  • Monitor the Legal Department’s shared inbox and ensure timely routing or response to incoming messages.
  • Track department expenses and assist with preparing expense reports or budget summaries as requested.
  • Maintain strict confidentiality regarding legal matters, customer records, corporate governance documents, and other sensitive information.
  • Assist with responding to escalated customer service issues by logging issues and gathering information from internal and external sources.
  • Maintain familiarity with corporate governance binders and produce documentation upon request.
  • Pull loan files and other documents for production in litigation or regulatory matters.
  • Draft routine correspondence and assist with third party communications.
  • Provide notary services as needed.
  • Exercise discretion, flexibility, and problem-solving skills when addressing legal and compliance matters.
  • Support attorneys and paralegals with legal, compliance, licensing, facilities, or third-party originator account projects as needed.
  • Manage competing priorities and adapt to shifting deadlines in a fast-paced, dynamic environment.
  • Regular, reliable and predictable attendance is an essential function of this job.
Qualifications

Education & Experience

  • High school diploma or GED is required.
  • 0–4 years of professional experience in a legal, administrative, or business environment.
  • Prior experience in the mortgage or financial services industry is a plus.

 

Knowledge, Skills & Abilities

  • Familiarity with legal terminology and the ability to apply it in daily work.
  • Working knowledge of the mortgage lending process and relevant systems.
  • Excellent written and verbal communication skills with strong grammar and punctuation.
  • High attention to detail and ability to follow through on multiple concurrent tasks.
  • Strong interpersonal skills and a customer service-oriented mindset.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and cloud-based platforms.
  • Ability to think logically, solve problems, and make sound judgments under pressure.
  • Ability to work independently and take initiative.
  • Ability to maintain strict confidentiality and demonstrate strong ethics and integrity.
  • Ability to manage competing priorities and adapt to shifting deadlines in a fast-paced environment.

 

Physical & Mental Requirements

  • This role requires a proactive and adaptable mindset.
  • You should be comfortable managing multiple tasks at once.
  • You should be comfortable maintaining confidentiality with sensitive information.
  • The position is primarily a sedentary one, involving prolonged periods of sitting at a desk and working on a computer.
  • Occasional physical activity may be required, including walking within the office and light lifting (up to 10 lbs.).
